Project Manager Job Summary

The Project Manager’s central organizing principle will be “ensure nothing falls through the cracks”. The expectation is not that the Project Manager will perform every task – rather, this position will be responsible for creating (and updating when deficiencies arise) the systems and structures necessary to ensure smooth, effective flow within the business(s). This person will work in close partnership with the Founder to ensure the smooth delegation and completion of projects between themselves, the Virtual Assistant, and other contractors.

The ideal candidate should be tech savvy, able to communicate through multiple channels, and super organized.

Project Manager Duties and Responsibilities


  • Organize own work plan according to strategic priorities

  • Develop and update Standard Operating Procedures (SOPs)

  • Organize, update and manage tasks and documentation in Asana

  • Prepare weekly agendas and lead team meetings

  • Prepare, send and track contracts and invoices

  • Meeting Preparation – this includes updating the Founder’s calendar with appropriate notes.

  • Technology/Software Review and Implementation

Marketing and Sales

  • Managing Women Leader Interview Series – this includes managing Facebook Live technology, corresponding with interview subjects and supporting the Founder with preparation for the interviews.

  • Content Calendar Management – this includes the brainstorming, drafting and proofreading of blog and newsletter copy, uploading content into ActiveCampaign, and engagement tracking.

  • Sales Launch Management – this includes brainstorming, drafting and proofreading sales emails and social media content; partner and affiliate communication; mini-session scheduling and follow up; product delivery and customer service.

Service Delivery

  • Speech Preparation

  • Consulting Contract Management – this includes managing timelines and ensuring completion of deliverables.

  • Coaching Program Management – for both the group and 1:1 program, this includes technology management, communications management and overall service delivery management.

  • Customer Service Infrastructure Management – this includes updating customer service protocols and managing client satisfaction surveys and testimonials.

Project Management Requirements and Qualifications

  • Highly organized multi-tasker who works well with fast-paced directions and instructions

  • Deadline driven and demonstrates excellent time management

  • Able to organize and manage large amounts of files, tasks, schedules, and information

  • Self-directed and able to work without supervision

  • Excellent verbal and written communication skills

  • Strong customer-service and presentation skills

  • High School diploma or equivalent; Associate’s or bachelor’s degree preferred

  • Two (2) years’ previous experience handling Project Manager responsibilities, or experience in related field

  • Proficient computer skills and technology, with desire and capacity to learn and implement new systems. Existing business systems include:

    • Administration and Operations: Asana, LastPass, Dropbox, Google apps (gmail, calendar, drive etc)

    • Finance: Quickbooks and Paypal

    • Client Service and Product Delivery: Apple Pages and Keynote, Zoom,, Voxer, Typeform

    • Marketing, Sales and Communications: Squarespace, ActiveCampaign, Medium, Instagram, Facebook, Twitter
